1Agreement Overview
Welcome to PDFized.com ("we," "our," or "us"), a web-based AI-powered tool designed to help users redact sensitive content from PDF documents.
Important: PDFized is currently in testing mode and offered free of charge. Features are experimental and may change without notice. When subscription plans become available, access may include a trial period before billing begins; details will be communicated at sign-up.
By accessing or using PDFized, you agree to be bound by these Terms & Conditions. If you do not agree to these terms, please do not use our service.
These terms constitute a legal agreement between you and PDFized.
Authority to Contract: By using PDFized, you represent and warrant that you are at least 18 years of age and have the legal authority to enter into these Terms on behalf of yourself or the organization you represent.
2Service Description
PDFized provides AI-powered PDF redaction tools that allow users to:
- Upload PDF documents for content analysis
- Identify and redact sensitive information automatically
- Download processed documents with redacted content
- Access additional document security features
- Collaborate on documents in real-time
Data Storage
To provide our services, we store:
- Your uploaded PDF documents in secure cloud storage
- Processed versions of your documents (with text layers, redactions applied)
- Extracted annotations, classifications, and sensitivity findings
- Document metadata and processing history
Storage duration depends on your account type and applicable retention policies. See Section 7 for complete details.
3User Responsibilities & Acceptable Use
When using PDFized, you agree to:
- Use the service only for lawful purposes
- Respect intellectual property rights of others
- Not upload malicious files or attempt to compromise our systems
- Not use the service to process copyrighted material without permission
- Ensure you have the right to redact the documents you upload
- Review all redacted documents before sharing to verify completeness of redaction
- Not rely solely on automated redaction for documents with significant legal, regulatory, or reputational implications
Prohibited Uses
You may not use PDFized to:
- Process, store, or transmit any illegal content
- Upload malware, viruses, or other malicious code
- Attempt to gain unauthorized access to our systems or other users' data
- Conduct mass automated processing without prior written permission
- Process documents for which you do not have legal rights or authorization
- Circumvent, disable, or interfere with security features of the service
- Use the service in any way that violates applicable laws or regulations
Legal Compliance: You are solely responsible for ensuring that your use of PDFized complies with all applicable laws and regulations. Violation of these terms may result in immediate termination of your access.
4Service Limitations
Please be aware of the following limitations:
A. AI Accuracy Disclaimer
PDFized uses artificial intelligence to detect and redact sensitive information. You acknowledge and agree that:
Accuracy Metrics Are Benchmarks Only: Any accuracy percentages stated on our website (including but not limited to "97.1% accuracy") represent performance benchmarks achieved under optimal testing conditions and are provided for informational purposes only. These figures do not constitute a warranty, guarantee, or promise of performance for your specific documents.
Optimal Conditions Defined: Benchmark accuracy metrics were measured using:
- High-resolution, machine-generated PDF documents
- Native text layers (non-scanned)
- English language content
- Standard document formats (contracts, reports, forms)
- Common sensitive data patterns (names, SSN, credit cards, addresses)
Factors Affecting Accuracy: Actual detection and redaction accuracy may be significantly lower than stated benchmarks due to, including but not limited to:
- Scanned or low-quality documents
- Documents requiring OCR (Optical Character Recognition)
- Non-English languages or non-Latin character sets
- Handwritten content or signatures
- Non-standard document layouts or formatting
- Industry-specific terminology, codes, or abbreviations
- Sensitive information embedded in images, charts, or tables
- Unusual fonts, text orientations, or visual noise
- Contextually sensitive information requiring human judgment
No Guarantee of Complete Redaction: PDFized does not and cannot guarantee that all sensitive information will be identified or properly redacted. The automated nature of AI processing means that some sensitive data may be missed or incorrectly classified.
User Verification Required: You are solely responsible for reviewing all redacted documents before sharing or publishing. We strongly recommend manual verification of all redactions, particularly for:
- Documents containing highly sensitive personal data
- Documents subject to regulatory compliance (HIPAA, GDPR, SOX, etc.)
- Legal documents or evidence
- Documents where incomplete redaction could result in harm
Professional Consultation: For documents with significant legal, regulatory, or reputational implications, we recommend consulting with qualified legal, compliance, or information security professionals before relying solely on automated redaction.
B. Testing Phase Limitations
- Features may be incomplete or experimental
- Service availability is not guaranteed
- Performance may vary and is subject to improvement
- Features may be added, modified, or removed without notice
No Service Level Agreement (SLA): PDFized does not guarantee any specific uptime, availability, or performance levels. No SLA applies unless explicitly agreed in writing.
C. Regulated-Data Disclaimer
PDFized is not certified or designed for compliance with industry-specific data-handling regulations, including but not limited to:
- HIPAA (U.S. Health Insurance Portability and Accountability Act)
- GLBA (U.S. Gramm-Leach-Bliley Act — financial data)
- FERPA (U.S. Family Educational Rights and Privacy Act)
- SOX (U.S. Sarbanes-Oxley Act)
PDFized does not operate as a HIPAA Business Associate and no Business Associate Agreement (BAA) is offered. If you upload documents that contain protected health information, financial records, educational records, or other data governed by sector-specific regulation, you do so at your own risk and are solely responsible for ensuring compliance with the applicable law. Automated redaction should not be treated as the sole safeguard for regulated data — see Section 6 for further disclaimers.
D. Technical Limitations
- AI detection accuracy varies based on document characteristics
- OCR processing introduces additional potential for errors
- Some document formats may not be fully supported
- Complex or unusual document formats may not be fully supported
- Large files may take longer to process or may not be supported
- Internet connection is required for all features
5Privacy and Data Handling
We take your privacy seriously. Here's how we handle your data:
What We Store
When you use PDFized, we store the following data:
Document Data:
- Original uploaded PDF files
- Processed PDF versions (text-enhanced, redacted)
- Document metadata (filename, size, page count, content hash)
Analysis Data:
- AI-generated annotations and findings
- Document classifications (type, parties, sensitivity levels)
- Extraction job results and processing history
Collaboration Data:
- Real-time editing state for shared documents
- Manual annotations you create
Account Data:
- User profile information
- Organization membership and roles
- Subscription and billing information
Data Retention

Garbage Collection: Expired documents and bundles are scheduled for deletion according to configured policies. You may request earlier deletion by contacting team@pdfized.com.
Your Rights
You can delete your documents at any time through the application. Deleted documents are soft-deleted and scheduled for permanent removal. Organization admins can configure retention policies for their teams.
All users may exercise the following rights by contacting team@pdfized.com. We will respond within the timeframe required by applicable law.
UK and EU residents have the right to:
- Access — obtain a copy of the personal data we hold about you (UK GDPR Art. 15)
- Rectification — correct inaccurate or incomplete personal data (Art. 16)
- Erasure — request deletion of your personal data (Art. 17)
- Restrict processing — request that we temporarily halt processing of your data (Art. 18)
- Data portability — receive your personal data in a structured, machine-readable format, or request transfer to another controller where technically feasible (Art. 20)
- Object — object to processing based on legitimate interest; we will cease processing unless we demonstrate compelling legitimate grounds (Art. 21)
- Lodge a complaint — you have the right to complain to a supervisory authority. For UK residents, this is the Information Commissioner's Office (ICO) at ico.org.uk. EU residents may contact their national data protection authority.
US residents (including residents of California, Virginia, Colorado, Connecticut, Texas, Oregon, and other states with consumer privacy legislation) have the right to:
- Know / Access — learn what personal information we collect, use, and disclose, and obtain a copy
- Delete — request deletion of your personal information
- Correct — request correction of inaccurate personal information
- Opt-out of sale or sharing — PDFized does not sell or share personal information (see above), so there is nothing to opt out of
- Non-discrimination — we will not discriminate against you for exercising your privacy rights
To exercise any of these rights, contact team@pdfized.com. We may need to verify your identity before processing your request.
Lawful Basis for Processing
We process your personal data on the following grounds:
- Contract performance (UK GDPR Art. 6(1)(b)) — processing your documents and maintaining your account is necessary to deliver the service you requested.
- Legitimate interest (UK GDPR Art. 6(1)(f)) — security monitoring, fraud prevention, debugging, and service improvement, where our interest does not override your rights.
- Legal obligation (UK GDPR Art. 6(1)(c)) — where we are required to retain data by law.
We Do Not Sell Your Data
PDFized does not sell, rent, or share your personal information for monetary or other valuable consideration. We do not engage in the "sale" or "sharing" of personal information as defined by the California Consumer Privacy Act (CCPA/CPRA) or equivalent US state privacy laws. Your data is used solely to provide and improve our services.
Third-Party Processors
We rely on third-party infrastructure providers (including Google Cloud Platform and Supabase) acting as data processors under appropriate data processing agreements. These providers process your data solely on our instructions and in accordance with applicable data protection laws.
International Data Transfers
Your data may be processed and stored in data centres outside the United Kingdom, including in the United States. Where personal data is transferred to a country that has not been deemed to provide an adequate level of data protection, we rely on appropriate safeguards such as:
- The UK Extension to the EU-US Data Privacy Framework for transfers to certified US-based processors
- International Data Transfer Agreements (the UK equivalent of EU Standard Contractual Clauses) where the Data Privacy Framework does not apply

6Important Disclaimer
Limitation of Liability for Redaction Accuracy
CRITICAL DISCLAIMER
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW:
NO WARRANTY OF ACCURACY: PDFized provides its AI-powered redaction services "AS IS" and "AS AVAILABLE" without any warranty of any kind, whether express, implied, or statutory, including but not limited to warranties of accuracy, completeness, fitness for a particular purpose, or non-infringement.
BENCHMARK DISCLAIMER: Any accuracy metrics, percentages, or performance statistics published on our website, marketing materials, or communications are provided as general benchmarks only and do not constitute warranties or guarantees. Actual performance on your documents may vary significantly.
ASSUMPTION OF RISK: You expressly understand and agree that your use of PDFized is at your sole risk. You assume full responsibility for:
- Verifying the completeness and accuracy of all redactions
- Ensuring redacted documents meet your specific requirements
- Compliance with applicable laws and regulations
- Any consequences arising from incomplete or inaccurate redaction
LIMITATION OF DAMAGES: In no event shall PDFized, its officers, directors, employees, agents, or affiliates be liable for any:
- Data breaches resulting from incomplete or failed redaction
- Regulatory fines or penalties
- Legal claims or litigation costs
- Reputational damage
- Loss of business or revenue
- Any indirect, incidental, special, consequential, or punitive damages
arising from or related to the accuracy or completeness of our AI redaction services, even if PDFized has been advised of the possibility of such damages.
INDEMNIFICATION: You agree to indemnify, defend, and hold harmless PDFized from any claims, damages, losses, or expenses (including reasonable attorneys' fees) arising from your reliance on automated redaction without appropriate verification.
Data Processing Disclosure
By using PDFized, you acknowledge that:
- Your documents are stored on our servers for the duration specified in Section 5
- AI analysis extracts and stores content including: text, annotations, identified parties, sensitivity classifications, and redaction recommendations
- Processing results are retained to enable features like: document history, collaboration, audit trails, and improved AI accuracy
- Storage paths, content hashes, and metadata are retained for deduplication and integrity verification
- Technical records of automated processing runs (which may include fragments of document content in model inputs and outputs) are retained for debugging, security, billing reconciliation, and service improvement, subject to applicable retention policies
Recommendation for Critical Documents
For documents where redaction failures could result in significant harm, regulatory violations, or legal liability, we strongly recommend:
- Manual review of all AI-suggested redactions before finalizing
- Consultation with legal or compliance professionals
- Use of multiple independent redaction verification methods
- Maintaining audit trails of redaction decisions and reviews
7Data Retention & Deletion
Storage Infrastructure
Your data is stored in PostgreSQL databases and cloud object storage (Google Cloud Storage), with separate systems for:
- Application data (users, organizations, subscriptions)
- Document processing data (PDFs, annotations, classifications)
- Real-time collaboration data
Deletion Process
When you delete a document:
- Document is marked as deleted (soft delete)
- Garbage collection evaluates deletion eligibility
- Permanent deletion occurs per configured schedule
- Storage metrics are updated
Note: Some data may be retained for:
- Legal compliance requirements
- Audit trail purposes
- Aggregate analytics (anonymized)
Usage Limits
All access — whether invitation-based, trial, or subscription — is subject to the following categories of limits. Actual values are set when your access is issued and are visible in the application or communicated in your invitation:
- Storage capacity — a maximum amount of stored data across all your documents
- Analyzed-page allowance — the number of PDF pages that can be processed for automated analysis within a rolling interval (daily, weekly, or monthly as configured)
- Access expiration — invitation and trial access carries an expiration date, after which the access token is no longer valid
When a limit is reached, you will need to delete existing documents or wait for your allowance to reset. Subscription users may upgrade their plan to increase limits.
8Intellectual Property
Your Content
You retain all ownership rights to the documents you upload. By uploading documents, you grant PDFized a limited license to process your documents solely for the purpose of providing our services.
Our Services
PDFized and its associated trademarks, logos, and service marks are the property of PDFized. You may not use our intellectual property without prior written consent.
9Termination
Termination by Us
We may suspend or terminate your access to PDFized at any time, with or without cause, including but not limited to violation of these Terms & Conditions. Where practicable, we will provide notice before or at the time of termination.
Termination by You
You may stop using PDFized at any time. If you have a registered account, you may request account deletion by contacting team@pdfized.com.
Effect of Termination
Upon termination:
- Your right to access the service ceases immediately
- Documents in your account will be scheduled for deletion in accordance with Section 7 (Data Retention & Deletion)
- We may retain data as required by law, for legitimate audit purposes, or as described in these Terms
Survival
The following sections survive termination of these Terms: Section 4 (Service Limitations), Section 5 (Privacy and Data Handling — to the extent it relates to data already collected), Section 6 (Important Disclaimer), Section 8 (Intellectual Property), Section 10 (Governing Law), and Section 13 (Severability).
10Governing Law
These Terms & Conditions shall be governed by and construed in accordance with the laws of Scotland, United Kingdom. Any disputes arising from these terms shall be subject to the exclusive jurisdiction of the courts of Scotland.
11Changes to Terms
We reserve the right to modify these Terms & Conditions at any time. Material changes will be communicated via:
- Email notification to registered users
- Prominent notice on our website
- Updated "Last updated" date at the top of this document
Your continued use of PDFized after changes are posted constitutes acceptance of the modified terms.

13Severability
If any provision of these Terms & Conditions is found to be unenforceable or invalid, that provision shall be limited or eliminated to the minimum extent necessary so that these Terms & Conditions shall otherwise remain in full force and effect.
14General Provisions
Entire Agreement
These Terms & Conditions, together with any supplemental acknowledgments you accept (such as the Early Access Program Acknowledgment or Confidentiality Acknowledgment), constitute the entire agreement between you and PDFized regarding your use of the service. They supersede all prior or contemporaneous communications, proposals, and representations, whether oral or written, with respect to the subject matter herein.
Waiver
The failure of PDFized to enforce any right or provision of these Terms & Conditions shall not constitute a waiver of that right or provision. Any waiver of any provision shall be effective only if in writing and signed by PDFized.
Assignment
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. PDFized may assign its rights and obligations without restriction.
